How to apologize by message: the parts that matter most
What a study of apologies found to matter most (owning the mistake and offering to repair it), the words that undo an apology, and when a message is not the right place.

When a written apology is appropriate
A message is a good place for a small or recent mistake: a forgotten reply, a sharp sentence, a late arrival. It lets the other person read it when they are ready. For a serious hurt, a message is better used to open the door (“I know I hurt you, and I would like to apologize properly. Can I call you?”) than to carry the whole apology.
The six components that were studied
Lewicki, Polin and Lount tested six components of an apology: expressing regret, explaining what went wrong, acknowledging responsibility, declaring that it will not happen again, offering to repair the damage, and asking for forgiveness. Apologies containing more of these components were judged more effective. The two that mattered most were acknowledging responsibility and offering repair. Asking for forgiveness mattered least.
Own the mistake in plain words
Acknowledging responsibility means a sentence with “I” as its subject and the act named clearly: “I cancelled at the last minute and left you waiting. That was my mistake.” Avoid the forms that move the fault elsewhere: “I am sorry if you felt hurt” apologizes for the other person’s feelings, and “I am sorry, but” cancels everything before the “but”.
Offer a repair that is concrete
Repair turns regret into something visible. It can be small: rescheduling and handling the booking, replacing what was broken, correcting a false statement in the same group chat where it was made. If nothing can be repaired, say what will change next time, and keep it specific enough to be checked.
Keep the explanation short
An explanation helps when it gives information (“I misread the date”), and harms when it becomes a defence. One sentence is usually enough. Do not ask for an immediate answer either: the other person is allowed to need time, and a second message asking whether the apology was accepted puts the pressure back on them.
